Zapier, Make and n8n workflow automation
Botlery builds and fixes Zapier, Make and n8n workflows for small businesses worldwide: routing leads from forms into your CRM and inbox, syncing orders, invoices and bookings between apps, sending follow-ups and reminders, and alerting you when something fails. You describe the process, we recommend the platform, send a free fixed-price quote, and you pay once the workflow has run on your real data.
Zapier, Make or n8n: which one we would pick for you
All three connect apps so that something in one (a form submitted, an invoice paid, a booking made) triggers steps in others. They differ in how they are built, billed and hosted.
| Platform | Strengths | Good fit when |
|---|---|---|
| Zapier | The largest catalogue of app connections and the easiest editor to maintain yourself. Billed by tasks, so cost rises with volume. | You want to tweak it yourself and the steps are standard |
| Make | A visual canvas with branching, loops and detailed data mapping. Billed by operations, where each step counts. | The process branches a lot or reshapes data between apps |
| n8n | Open source, with code steps when needed. Use n8n’s cloud or host it on your own server. | Data should stay on your own infrastructure |
If you already pay for one, we build on it. Switching only makes sense when the current platform is costing real money or blocking something you need.
What we build
- Lead routing. A form, ad lead or chat enquiry becomes a CRM contact, tagged by service, sent to the right person by email or Slack, and logged in a sheet.
- Orders and invoices. A new online order creates the invoice in your accounting tool and keeps the customer updated.
- Bookings. Confirmations, reminders, and a polite rebooking message after a no-show.
- Payments. A paid invoice marks the deal paid, sends a thank-you and files the receipt for your bookkeeper.
- Attachments. Saved to the right folder with consistent names, or passed to AI document processing.
- AI steps. Classifying enquiries, summarising long emails, or drafting replies a person approves before sending.
- Error handling. Filters, de-duplication, retries and an alert when a step fails, so a broken connection does not quietly drop data.
- Fixing and migrating. Zaps broken by an app change, overlapping workflows tidied up, or a move from Zapier to Make or n8n.
Three example workflows
1. Website enquiry to booked call
A form submission creates or updates the CRM contact (matched by email, so no duplicates) and alerts the right salesperson. The customer gets your booking link. If they book, the deal moves to “Call booked”; if not within two days, the salesperson gets a task to call.
2. Paid invoice to tidy books
When a payment succeeds, the workflow marks the invoice paid, saves the receipt PDF in the accountant’s folder and adds it to a monthly tab your bookkeeper reconciles from.
3. AI agent lead into your CRM
If Botlery built your AI chatbot or AI phone agent, each lead already lands in a Google Sheet. A workflow creates the CRM contact from each new row and starts your usual follow-up.
What you will need to provide
- The apps involved and your plan on each; some features, such as multi-step Zaps, need a paid plan.
- An invite to your workspace and the connected apps, or a call where you connect them yourself.
- A few real example records and the rules a person applies today.
- How you want to hear about failures: email, Slack or a log sheet.
How it works
- Describe the process through the contact form, hello@botlery.com or Upwork.
- Get a platform recommendation and a free fixed-price quote.
- We build and test with test records; live apps are untouched until you agree.
- You watch it run on real data and we adjust.
- You pay once it works. The workflow lives in your own account, documented step by step.

Should my small business use Zapier, Make or n8n?
Choose the platform that fits who will maintain the workflow and how complex it is. Zapier is usually best when you want to edit the workflow yourself later and the steps are standard, such as a form creating a CRM contact and sending an email, because it has the largest catalogue of app connections and the simplest editor. Make suits processes with many branches, loops or data that needs reshaping between apps, and its visual canvas makes complex logic easier to follow. n8n is open source and can run on your own server, which suits businesses that want data to stay on their own infrastructure or have a technical person in-house. If you already pay for one, Botlery normally builds on it rather than asking you to switch. When we quote, we explain which platform we recommend for your process and why, including the ongoing plan you would need.
How much does Botlery charge to build a Zapier, Make or n8n workflow?
Botlery quotes each Zapier, Make or n8n workflow as one fixed price, and the quote is free. A single trigger with two or three actions is a small job; a lead-routing system with de-duplication, several branches, an AI classification step and error alerts is a much bigger one, so a single published price would mislead you. After you describe the process, we send a written scope covering the platform, each step, how failures are handled and the fixed price. Nothing is paid up front. We build it, test it with test records, switch it on, and you pay once it has run correctly on your real data. The platform subscription is separate and paid by you directly to Zapier, Make or n8n. Hiring through Upwork works the same way, with Upwork's escrow holding payment until you approve the work.
Can Botlery fix Zapier or Make workflows that someone else built?
Yes. Fixing existing Zapier, Make and n8n workflows is work Botlery takes on, and Botlery quotes it the same way as new work: free and fixed before we start. The usual problems are workflows that broke when a connected app changed its fields or its login, duplicates created because nothing checks whether a contact already exists, steps that fail silently so data goes missing for weeks, and dozens of overlapping workflows that nobody can explain any more. We start by reviewing what exists with read access, list what each workflow does and where it breaks, and propose a fix or a simpler rebuild. You decide which. If the original builder left no documentation, you get it at the end: a plain-English description of every workflow, its trigger, its steps and what alerts you when it fails.
What happens when a Zapier, Make or n8n workflow fails?
Every platform fails occasionally, usually because a connected app is down, a login expired or incoming data looks different from normal, so Botlery designs for failure rather than assuming it will not happen. Each workflow we build includes filters that stop obviously bad data, checks that prevent duplicates, retries where the platform supports them, and an alert to you by email, Slack or a log sheet when a step fails, with enough detail to see which record was affected. Zapier, Make and n8n all keep a run history, so a failed run can usually be replayed once the cause is fixed. At handover we show you where that history is and what the common errors look like. If a failure is caused by something in our build, tell us and we will look at it.
Do I need to pay for Zapier, Make or n8n as well as Botlery's build?
Usually yes, because the workflow runs on the platform, and Botlery builds it on your own account so you own it. Zapier, Make and n8n each have free tiers, but most business workflows need a paid plan once they involve several steps, premium app connections or a meaningful volume of runs. You pay that subscription directly to the platform, not to Botlery, and we do not take a share of it. Botlery's charge is the fixed price for designing, building and testing the workflow. When we quote, we tell you which plan the workflow is likely to need at your current volume, so you can see the full picture before agreeing. If you self-host n8n, the software is free to run under its licence, but you pay for the server it runs on.
