Excel automation: VBA macros, Power Query and Office Scripts
Botlery automates Microsoft Excel for small businesses worldwide: VBA macros, Power Query, Office Scripts with Power Automate, automated report generation, cleaning and merging files, and moving data between Excel and Google Sheets. You describe the job you repeat, we send a free fixed-price quote, build it on copies of your files, and you pay once you have tested it with your own data.
Which Excel tool we use, and why it matters
Excel has three automation tools, and picking the wrong one is the usual reason a macro that works on one computer fails on the next. We choose by where your files live and who runs them.
| Tool | Where it runs | Best for |
|---|---|---|
| VBA macros | Desktop Excel (fullest on Windows, some limits on Mac); not Excel for the web or phones | Anything inside a workbook: formatting, building sheets, forms, custom functions |
| Power Query | Desktop Excel (Data › Get & Transform) | Importing, cleaning and combining files, repeated with one Refresh |
| Office Scripts | Excel for the web, with a Microsoft 365 business or education licence | Files in OneDrive or SharePoint, run on a schedule through Power Automate |
What we automate in Excel
- VBA macros. One button that formats your system’s raw export, builds a sheet per customer or region and saves each as a workbook or PDF; data-entry forms; custom functions.
- Power Query. Point Excel at a folder of monthly CSVs and one Refresh combines them, fixes dates stored as text, and removes blanks and duplicates.
- Office Scripts with Power Automate. Workbooks in OneDrive or SharePoint that update on a schedule or when an attachment arrives, without anyone opening Excel.
- Report generation. The monthly management pack, client statements or commission sheets produced from one data table in one click.
- Cleaning and merging files. Dozens of workbooks in slightly different layouts consolidated, with a log of anything that could not be matched.
- Fixing what you have. Slow workbooks, broken links to moved files, and the macro nobody still in the business understands.
Three example workflows
1. Month-end in one click
Your bookkeeping system exports a CSV to a folder. Power Query cleans and categorises it, the pivot report refreshes, and a macro saves a PDF per department and prepares an Outlook email to each manager for you to check.
2. Supplier price lists that line up
Five suppliers, five layouts. Power Query maps each to one standard layout, matches your item codes, flags every price that changed since last month, and gives you one table to order from.
3. Daily totals without opening the file
Field staff log hours through a Microsoft Form feeding a workbook in OneDrive. At 6pm an Office Script totals hours per job and Power Automate emails the office.
Things to know before you automate Excel
Microsoft blocks macros by default in files that arrive from the internet or by email, so a macro workbook needs a trusted location or a one-time unblock on each computer; we set that up with you. Macro files are saved as .xlsm. If the work is really a team process across several apps, a Zapier, Make or n8n workflow may suit it better than a workbook.
What you will need to provide
- Sample files, anonymised if needed, including a messy one.
- Which Excel each person uses: Microsoft 365 or older, Windows or Mac, desktop or web.
- Where the files live: local folder, network drive, OneDrive, SharePoint or email.
- The steps you do today and an example of the finished output.
How it works
- Describe the job you repeat through the contact form, hello@botlery.com or Upwork.
- Get a free fixed-price quote naming the tool, the scope and one price.
- We build on copies of your files.
- You run it on this month’s real files and tell us what to adjust.
- You pay once it works. Everything sits in your own workbooks and Microsoft account, with a note on how to run it.

What is the difference between VBA, Power Query and Office Scripts for Excel automation?
They are three different Excel automation tools that suit different jobs. VBA is the macro language built into desktop Excel: it can do almost anything inside a workbook, from formatting and building sheets to forms and custom functions, but it does not run in Excel for the web or on phones. Power Query is Excel's data-import and clean-up tool: you define the steps once, such as combining every file in a folder, fixing dates and removing duplicates, and then repeat them with a single Refresh. Office Scripts is the newer scripting tool for Excel for the web, and it can be run on a schedule or triggered by Power Automate, which suits files kept in OneDrive or SharePoint. Botlery picks the tool based on where your files live, which versions of Excel your team uses and who needs to run the automation.
How much does Excel automation cost with Botlery?
Botlery prices each Excel automation as one fixed amount, and the quote is free. There is no single published price because the work ranges widely: a macro that formats one export is a small job, while a month-end process that combines several sources, generates reports per department and handles messy files is considerably larger. Once you send sample files and describe the steps, we reply with a written scope that names the tool we will use, what the automation will do, and the fixed price for that work. Nothing is paid up front. We build on copies of your files, you run the result on real data, and you pay once it works as agreed. If you would rather hire us through Upwork, the same quote becomes an Upwork fixed-price contract and Upwork's escrow holds the payment until you approve. Prices are quoted in USD.
Will an Excel macro built by Botlery work on a Mac or in Excel for the web?
It depends on the tool, which is why Botlery asks what everyone uses before quoting. VBA macros run in desktop Excel on Windows and, with some limitations, on a Mac; features that depend on Windows, such as some Outlook automation or certain file dialogs, need a different approach on a Mac. VBA does not run in Excel for the web or in the mobile apps at all. If your team works in the browser, Office Scripts is the right tool, provided you have a Microsoft 365 business or education licence. Power Query runs in desktop Excel on both Windows and Mac, with the fullest feature set on Windows. When a team is mixed, we either build with the tool everyone can run or split the job so the automated part runs in one place and everyone else simply opens the finished file.
Can Botlery automate Excel files that arrive by email?
Yes. Botlery can automate Excel files that arrive as email attachments, such as supplier price lists, bank or card exports, daily sales files or timesheets. There are two usual approaches. If you use Microsoft 365, Power Automate can watch a mailbox, save each matching attachment to a OneDrive or SharePoint folder with a consistent file name, and run an Office Script or trigger a refresh that merges it into your master workbook. If your team works in desktop Excel, the attachments can be saved to a folder and Power Query combines everything in that folder with one Refresh, optionally driven by a macro button. Either way, we build checks for the problems that attachments tend to bring, such as a changed column order, an extra header row or a duplicate file sent twice, and flag them instead of loading bad data.
Should my business automate in Excel or move to Google Sheets?
Usually you should automate where your team already works, and Botlery will tell you when that is not true. Excel is the stronger choice when files are large, when you rely on Power Query or complex models, when your accountant or bank works in Excel, or when your business already runs on Microsoft 365. Google Sheets is the stronger choice when several people need to edit the same data at once from anywhere, when you want automations that run in the cloud without anyone's computer switched on, or when your business runs on Google Workspace. Moving platforms has a real cost in retraining and rebuilt formulas, so we only recommend it when it clearly pays off. If part of the team uses each, we can keep both in step with a scheduled sync.
