Google Sheets automation for small businesses
Botlery automates Google Sheets for small businesses anywhere in the world: Apps Script triggers, form-to-sheet intake, scheduled reports and dashboards, email alerts, a CRM kept in a sheet, and syncing with the other apps you use. You describe the manual work, we send a free fixed-price quote, build it on a copy of your sheet, and you pay once you have tested it on your own data.
What we automate in Google Sheets
- Apps Script triggers. Code that runs on its own: when a form is submitted, when a cell changes (say, Status set to “Won”), or on a timer such as every weekday at 7am.
- Form-to-sheet intake. Google Forms, your website form or a booking tool writing into a tidy tab, cleaned on arrival: one phone format, a timestamp, duplicate emails flagged.
- Reports and dashboards. A summary tab built with QUERY and pivot tables that updates itself, emailed as a PDF on a schedule.
- Email and chat alerts. Stock below its reorder level, an invoice 14 days overdue, a lead nobody has touched in two days: a Gmail, Google Chat or Slack message.
- A CRM kept in a sheet. Pipeline stages as drop-downs, follow-up dates that highlight when due, protected formula columns, and a daily “who to call” list.
- Documents from rows. Quotes, invoices or job sheets filled in from a Google Docs template, saved as PDFs in Drive and emailed if you want.
- Syncing with other apps. Orders, payments or bookings pulled in from another tool’s API, rows pushed out, or CSVs imported from a Drive folder.
Three example workflows
1. Quote requests that chase themselves
A customer submits your website quote form. A row appears in the Leads tab and you get an email linking to it. If Status still says “New” three days later, the sheet reminds you; when you mark it “Quoted”, it stamps the date.
2. The Monday-morning numbers
Every Monday at 7am a script totals last week’s sales by product and location, adds them to a Summary tab beside earlier weeks, and emails the owners a PDF. Nobody has to open the sheet to know how the week went.
3. Finished job to invoice
Mark a job “Complete” and the script fills your invoice template, saves the PDF in the customer’s Drive folder, emails it from your Gmail and writes the invoice number back to the row.
Already using a Botlery AI agent?
Every Botlery chatbot, voice agent and phone agent saves each lead to a Google Sheet and emails you (how that works). That sheet is the natural place to start: reminders on leads nobody called, a weekly count by service, or each lead pushed into your CRM.
When Google Sheets is not the right tool
Sheets has limits and we will name them before quoting: each script run is time-limited, Google caps the emails a script can send per day, and very large sheets with many editors get slow. Sometimes the better answer is a Zapier, Make or n8n workflow, a CRM such as GoHighLevel, or Excel because that is where your accountant works.
What you will need to provide
- The sheet with edit access, or a copy with realistic sample data.
- The manual steps you do today, in order. A screen recording of doing it once is ideal.
- An example of the result: report layout, email wording, invoice template.
- The Google account the automation should run under and send email from (yours or a shared admin account, not ours).
- For syncing, an API key or a login for the other app that you can delete afterwards.
How it works
- Tell us what you do by hand through the contact form, hello@botlery.com or Upwork.
- Get a free fixed-price quote: a written scope of what it will and won’t do, with one price.
- We build on a copy while your live sheet keeps working.
- You test it on your own data and tell us what to change.
- You pay once it works. The script lives in your Google account, with a note on what each trigger does.

What Google Sheets automation costs
Free fixed-price quote
Every Google Sheets automation is quoted as one fixed price after we have seen the sheet and the steps involved. You know the full cost before any work starts, there is nothing to pay up front, and the automation runs in your own Google account.

What can Botlery automate in Google Sheets?
Botlery automates the repetitive parts of running a business from Google Sheets: getting data in, acting on it and reporting on it. Getting data in means form submissions, website leads, bookings, orders or CSV exports arriving in the right tab already cleaned up. Acting on it means Apps Script triggers that send emails, create invoices or quotes from a Google Docs template, move rows between tabs when a status changes, or alert you when something is overdue or running low. Reporting means summary tabs and dashboards that update themselves, and PDF reports emailed on a schedule. If a task is something you do by hand in a sheet every week, following the same steps each time, it can usually be automated. Describe the steps and we will quote it free.
How much does Google Sheets automation cost with Botlery?
Botlery quotes every Google Sheets automation as one fixed price, and the quote is free. We do not publish a single price because the work varies too much: a form that emails you on each new row is a small job, while a two-way sync with another app's API plus a reporting dashboard is a much larger one. After you describe the task and, ideally, share a copy of the sheet, we send a written scope listing what the automation will do and the price for exactly that. There is nothing to pay up front. We build it, you test it on your own data, and you pay once it works as agreed. If you hire us through Upwork instead, the same price becomes an Upwork fixed-price contract, and Upwork's escrow holds the payment until you approve the work. Quotes are in USD.
Do I need a paid Google Workspace account for Google Sheets automation?
No. Most Google Sheets automations work on a free Google account as well as on Google Workspace, because Apps Script, the scripting language built into Sheets, is available on both. The differences are in the limits. Google lets a Workspace account send more emails per day from a script and gives it more generous quotas overall, so an automation that emails hundreds of customers a day may need Workspace. Workspace also makes it easier to run automations under a shared company account instead of one person's login, which matters when staff come and go. Before quoting, Botlery checks your account type against what the automation has to do and tells you if a limit will get in the way. If an upgrade is needed, you pay Google directly; nothing about the automation depends on a Botlery account.
Will a Google Sheets automation break if I change my sheet?
It can, which is why Botlery builds Google Sheets automations to tolerate normal changes and tells you which changes are not normal. Scripts that find columns by their header name rather than a fixed letter keep working when you insert or reorder columns. Named ranges, protected header rows and drop-down validation prevent the most common accidents, such as someone typing over a formula or spelling a status differently. What will break an automation is renaming a tab or header it depends on, or changing what a column means. At handover you get a short note listing what each trigger does and which tabs and headers it relies on, so anyone editing the sheet knows what to leave alone. If you later want the automation to do something new, we quote that change the same way: free, and fixed before any work starts.
Who owns a Google Sheets automation after Botlery builds it?
You do. Botlery builds every Google Sheets automation inside your own Google account: the scripts are attached to your sheet or stored in your Drive, the triggers run under an account you control, and any API keys belong to you. Nothing runs on a Botlery server, so the automation keeps working whether or not you ever speak to us again. At handover we can remove any access you gave us for the build, and we leave a plain-English note describing what each script and trigger does and what it depends on. That note is also what another developer would need if you ever wanted someone else to extend the work. It is the same rule we follow for the AI chatbots, voice agents and phone agents we build on clients' own accounts: we build it, and you keep it.
